Memorion provides digital memorial services that allow memorial owners to create and manage memorial pages, connect them with QR access, invite trusted family members, and receive contributions from family, friends, and visitors.

Data we may collect

When you create or use an account, we may process information such as your name, email address, user ID, login-related information, and account role.

A memorial may contain information provided by the memorial owner or authorised family members, such as the memorialised person's name, dates, biography, photographs, Life Journey moments, memories, gallery content, resting-place information, and other details chosen for the memorial.

A memorial may contain information relating to a deceased person. Depending on the content submitted, it may also include personal data relating to living individuals.

When you submit a memory, photograph, thought, reply, or other contribution, we may process the content you submit together with information needed to display, moderate, attribute, or manage that contribution.

When a memorial owner invites a family member, we process information necessary to send and manage the invitation, verify the invited email address, create or connect an account, assign Family Workspace access, and manage later access changes or revocation.

When you purchase a QR plaque, digital memorial option, storage upgrade, access extension, or another paid service, we may process order information, billing/contact information, transaction status, product information, and fulfilment details.

Payment card or payment-account information may be processed directly by the payment provider used during checkout. Memorion receives the payment and transaction information made available to it through the checkout system.

If you contact us, we may process your name, email address, message, subject, order or memorial reference, and any other information you choose to provide.

Like most online services, Memorion may process limited technical information necessary to operate and secure the website, such as IP address, browser or device information, timestamps, cookies or session information, security logs, and request data.

How we use personal data

We may process personal data to create and maintain user accounts; create, host, display, and manage memorials; provide private Workspace access; manage Family invitations and permissions; receive, moderate, publish, edit, or manage visitor and family contributions; connect QR codes and activation details with memorials; process orders, fulfilment, upgrades, and access extensions; provide customer support; send service-related messages, such as Family invitations, access changes, security or account notices; prevent abuse, fraud, unauthorised access, and technical misuse; maintain, troubleshoot, and improve service reliability; comply with legal obligations and resolve disputes.

Legal bases

Depending on the context, Memorion may rely on one or more of the following legal bases.

Contract – where processing is necessary to provide a service you requested, manage your account, fulfil an order, or provide memorial access.

Legal obligation – where information must be processed or retained to comply with applicable law, accounting, tax, consumer-protection, or other legal requirements.

Legitimate interests – where processing is reasonably necessary to operate, secure, support, and protect the Memorion service, provided those interests are not overridden by your rights and freedoms.

Consent – where applicable, for processing that requires your voluntary consent. Where processing is based on consent, you may withdraw it at any time without affecting processing carried out before withdrawal.

Memorial content and visibility

The memorial owner chooses and manages the memorial content and available visibility or publication settings.

Content published on a public memorial can be viewed by visitors without a Memorion account.

Private Workspace information, account management, Family controls, pending submissions, settings, billing, storage, and owner-only controls are not intended to become public simply because a memorial itself is publicly accessible.

Before submitting personal information about another living person, users should consider whether they have an appropriate basis or permission to share that information.

Family members and contributors

Family members receive access only to memorials to which they have been invited and accepted.

The memorial owner may later remove Family Workspace access. Removing Family access does not automatically delete that person's previous memorial contributions.

Contributions submitted by visitors or family members may be reviewed, approved, rejected, edited where permitted, or removed by authorised users in accordance with the service's moderation and permission model.

Sharing of data

Memorion may share personal data only where reasonably necessary with service providers that help operate the platform, such as website and infrastructure hosting providers; email-delivery providers; payment and checkout providers; order fulfilment or delivery providers where physical products are purchased; security, maintenance, or technical service providers; professional advisers or authorities where required by law.

These providers receive only the information needed for the relevant service.

International transfers

Some service providers may process data outside your country or outside the European Economic Area.

Where international transfers are subject to GDPR requirements, Memorion uses appropriate safeguards where required by law, such as adequacy decisions or approved contractual safeguards.

Data retention

Personal data is retained only for as long as reasonably necessary for the purpose for which it was collected, to provide the purchased memorial service or access term, and to meet legal, accounting, security, or dispute-resolution requirements.

Retention periods may therefore differ depending on the type of information.

Memorial content may remain available for the access period associated with the memorial and any extensions purchased by the owner.

Account, order, transaction, or support records may need to be retained for longer where required by applicable law.

When information is no longer required, it may be deleted or anonymised where appropriate.

Security

Memorion uses reasonable technical and organisational measures intended to protect accounts, memorial management areas, and personal data against unauthorised access, loss, misuse, or alteration.

No online service can guarantee absolute security, and users are responsible for keeping their passwords and account access confidential.

Your rights

Subject to applicable law, you may have the right to receive information about how your personal data is used; request access to personal data held about you; request correction of inaccurate or incomplete data; request deletion of personal data in appropriate circumstances; request restriction of processing; object to certain processing; receive certain personal data in a portable format; withdraw consent where processing is based on consent; lodge a complaint with the competent data-protection authority.

These rights are not absolute and may be limited where another lawful basis or legal obligation requires information to be retained or processed.

Children

Memorion is not designed for children to create commercial accounts or purchase services independently.

If personal information relating to a child is included in memorial content, the person submitting or managing that content is responsible for ensuring that it is appropriate and lawfully shared.

Cookies and essential technology

Memorion may use cookies, session storage, or similar technologies that are necessary for functions such as login, security, preferences, checkout, and service operation.

Where non-essential cookies or similar technologies are used and consent is legally required, they should be handled in accordance with applicable cookie and privacy requirements.

Changes to this policy

We may update this Privacy Policy when the Memorion service, legal requirements, or data-processing practices change.
